What an Event Reminder Email Is For
An event reminder email is not marketing. The person has already registered; the reminder's job is to get them through the door on time, with the right badge, at the right entrance, knowing where to go first. A good reminder sequence reduces no-shows and, just as usefully, cuts the number of identical questions your team answers in the final week.
Every reminder should answer the questions people actually ask at the registration desk:
- Date, start time and time zone, written out in full
- Venue name, street address and the entrance to use, which is often not the main door
- Parking, transit and rideshare drop-off points
- Badge pickup location and hours, and what to bring: the confirmation QR code, photo ID or both
- A link to the floor plan, schedule or mobile app, plus the event code if your app needs one
- The first thing on the agenda and when doors open for it
- Weather, dress code or security rules that affect what people carry
- Who to contact, and how to transfer or cancel a registration
The Event Reminder Email Sequence
Four touches cover most in-person events. Each one is shorter than the last, and each drops anything the reader no longer needs.
| When | Job | Must include | Leave out |
|---|---|---|---|
| One week before | Help people plan | Dates, venue, badge pickup, agenda and app links, hotel | Long promotional copy |
| Day before | Get them out the door prepared | Entrance, parking, pickup hours, what to bring, first session | Anything they cannot act on tomorrow |
| Morning of | Confirm today's logistics | Doors-open time, entrance, weather or route changes | The full agenda |
| Starting soon | Pull people into the room | What starts, where, and in how many minutes | Everything else |
The starting soon message works best as an app notification or text rather than an email, because people are already on site or on the way. Send the day-before email in the late morning or early afternoon of the attendee's own time zone, so there is time to act on it before they travel. People who register late should join the remaining steps rather than receive the whole sequence at once.
In-Person Conference Reminder Templates
These conference reminders assume a multi-day event with an app. Remove the app lines if you do not have one and link to the published agenda instead; our conference agenda template helps if the program is still taking shape.

Trade Show Attendee Reminder Templates
Trade show visitors plan around the floor, not the sessions. Point them to the exhibitor list and floor plan, and spell out show hours by day, because many shows keep different hours on each day or open with a trade-only preview.
Subject: [EVENT NAME] opens tomorrow at [TIME] Hi [FIRST NAME], The show floor opens tomorrow at [TIME] [TIME ZONE] at [VENUE], [HALL]. Show hours: [DAY 1]: [HOURS] [DAY 2]: [HOURS] [DAY 3]: [HOURS] Your badge: [PRINT AT HOME / PICK UP AT LOCATION]. Bring the QR code from your confirmation email for faster check-in. Doors open at [TIME] at [ENTRANCE]. Badge pickup is at [LOCATION]. Find exhibitors on the floor plan in the app.
A fast, well-signed badge pickup matters more than any line in the email. If you are planning the desk itself, see event check-in software.
Exhibitor Move-In Reminder Template
Exhibitors need a different reminder entirely: about move-in, not attendance. Send it a week or so before move-in, to the admin contact and to whoever is actually shipping and building the booth. Pull the details from your exhibitor manual and repeat only what changes behavior on the day.
- Move-in date and time window for each area or booth range, if move-in is staggered
- The loading dock, freight door or marshalling yard address, which differs from the attendee entrance
- Carrier and advance warehouse deadlines, and who to call if freight is missing
- Exhibitor badge pickup location and the staff names you hold on file
- Last call for ordered services such as electrical, internet and furniture
- Rules on hand-carry, carts, aisles and empty crates
- The earliest time teardown may start, usually not before the show closes
Subject: Move-in for [EVENT NAME]: booth [BOOTH NUMBER], [DATE] Hi [FIRST NAME], Move-in for [COMPANY] is on [DATE], [START TIME]–[END TIME] [TIME ZONE]. For the operations behind these dates, from freight to marshalling, see trade show logistics.
Speaker Reminder Template
Speakers get forgotten in the reminder plan because they confirmed months ago. Three or four days out, send each one their own session details and the logistics that only apply to them: where the speaker ready room is, when to check their slides, and when to be in the room.
Subject: Your session at [EVENT NAME]: [SESSION TITLE], [DAY] at [TIME] Hi [FIRST NAME], We're looking forward to your session. Session: [SESSION TITLE] When: [DAY, DATE], [START TIME]–[END TIME] [TIME ZONE] Room: [ROOM NAME], [FLOOR / BUILDING] Moderator or co-presenters: [NAMES] Before your session: - Pick up your speaker badge at [LOCATION] - Bring final slides to the speaker ready room ([ROOM]) by [TIME], or upload them by [DATE]: [LINK] - Arrive in your session room [NUMBER] minutes before the start for a microphone check On-site contact: [NAME], [MOBILE NUMBER] Thank you, [YOUR NAME] Program Team
Event Reminder Mistakes to Avoid
- Writing times without a time zone, or in your office's zone instead of the venue's
- Repeating the full agenda in every reminder, so the one detail that changed is lost
- Reminding people who cancelled or transferred their registration
- Moving the entrance or pickup location after the day-before email without sending a correction
- Stacking three emails into the last 24 hours when one email and one notification would do
- Letting an empty placeholder through: preview with a real recipient's details before sending
- Using a no-reply address in the week when people most need to ask a question
The same discipline applies once the doors close; our event follow up email templates pick up where this sequence ends.
