What Event Email Marketing Covers
Event email marketing is less about one big announcement and more about dozens of small, well-timed messages to different groups. Exhibitors need deadlines and portal links. Attendees need reminders and logistics. Speakers need session times. Each group needs different details, and each detail lives in a different list unless your email tool reads from the same records as the event itself.
| Audience | Typical emails |
|---|---|
| Exhibitors | Portal invitation, onboarding reminders, move-in logistics, balance reminders, post-show thank you |
| Attendees | Registration invitation, ticket confirmation, one-week and day-before reminders, follow-up survey |
| Speakers | Invitation to the speaker profile, session confirmation, slide and bio deadlines |
| Authors | Submission confirmation, accepted and declined decisions |
Map the sequence before you write anything. Our event marketing plan guide covers timing and channels across the whole campaign.
How Sending Works in the Email Center
- 1
Choose a Draft or Template
Open Drafts & Sending in the Email Center, under Setup & Settings. Pick one of your drafts or start from a template.
- 2
Design and Personalize
Edit the message in the designer, set the reply-to address under Email settings, and insert placeholders from the side panel. Save the draft, then select Next.
- 3
Preview
Select Preview to check how the email looks before anything goes out.
- 4
Choose Recipients and Send
Select individual recipients or Select all, then Send. Emails go straight away, and Map D reports how many were sent and how many failed.
Personalize Every Email With Placeholders
Placeholders are replaced with each recipient's details, so one draft becomes a personal email for every exhibitor, attendee or speaker.
| For | Placeholders |
|---|---|
| Everyone | {{First_Name}}, {{Last_Name}}, {{Title}}, {{Email}}, {{Organization}} |
| Your show | {{Event_Title}}, {{Start_Date}}, {{End_Date}}, {{Facility}}, {{City}}, {{State}}, {{Public_Contact}}, {{Link}} |
| Exhibitors | {{Company}}, {{Website}}, {{Booth}}, and admin contact details such as {{Admin_First_Name}} |
| Speakers | {{Session_Title}}, {{Session_Time}} |
| Invites | {{Invite_Link}}, and {{Login_Email}} for attendees |
Templates are reusable starting points you can filter by audience, status or owner. Built-in system templates can be duplicated but not edited, so your own versions never overwrite the defaults.
System Emails and Transactional Messages
Not every event email is a campaign. Some go out automatically, and they need the same care because they are the ones people act on.
- Notifications Setup controls the invitation emails sent to attendees, exhibitors and speakers. Change the wording for your show or reset it to the default.
- The exhibitor portal invite has its own custom greeting, message, booth assignment and attached documents.
- Booth order confirmations and invoices are set in booth sales, with their own subject, message and invoice PDF. See event payment processing.
- Call for Papers decision emails are released in a batch with editable Accepted and Declined wording, a preview and a test send. See abstract management software.
Event Email Templates You Can Copy
These event email templates are written to be short and specific. Replace the bracketed placeholders with your details, or with Email Center placeholders such as {{Company}} and {{Booth}} when you send from Map D.

Practical Rules for Event Emails
- Set a reply-to address before the first send. Authors, exhibitors and attendees reply to event emails, and without one those replies go nowhere.
- Segment instead of blasting. An onboarding reminder to exhibitors who already finished teaches them to ignore you.
- Put the deadline and the link in the first lines, not the last.
- Preview with a real recipient's details to catch an empty placeholder.
- Keep logistics out of marketing emails, and marketing out of confirmations.
- Close the loop after the show with a short survey. Our post-event survey template is a ready starting point.
