The Short Answer

An event cancellation email tells everyone who registered, paid or agreed to take part that the event will not go ahead as planned, why, and exactly what happens to their money, booking and travel. Put the decision in the subject line and first sentence, give the refund, credit or transfer options with their deadlines, and send separate versions to attendees, exhibitors, sponsors and speakers, because each has different money and obligations at stake.

Decide These Before You Write a Word

A cancellation email is hard to write because it is usually drafted before every answer is settled. Hold it until the decisions below are made, or until you can say when they will be. A vague first notice followed by three corrections costs more trust than a clear notice sent a day later. The exception is a same-day cancellation for safety, covered further down, where speed matters more than completeness.

  • Cancel or postpone: is the event off, or moving to a date you can name?
  • What buyers get: a refund, a credit toward the next edition, a transfer to the new date, or a choice, and by when they must choose
  • What happens to booths, sponsor benefits already delivered, and service orders exhibitors placed with contractors
  • What happens to speaker travel and fees under each speaker agreement
  • What happens to rooms in your hotel room block, and whether the hotel will release them without charge
  • What your venue and vendor contracts say about cancellation and force majeure
  • Who signs the email, and who answers the replies for the next two weeks
Cancelled, postponed or changed: what each notice must say
SituationWhat it means for buyersThe email must sayUsually offered
CancelledThe event will not take placeThat it is cancelled, why, and how money comes backA refund, or a credit if the buyer prefers
Postponed, new date setSame event, later dateOld and new dates, and whether registrations carry overAutomatic transfer, with a refund on request by a deadline
Postponed, date not yet setSame event, date to comeWhen you expect to announce the new dateRegistrations held, refund on request
Moved onlineSame program, different formatWhat changes in price, access and benefitsThe price difference back, or a full refund on request
Same-day cancellationToday's event or session is offDo not travel; full details will followSettled in the follow-up email

If only the date or venue changes and the event still happens, you are writing an announcement more than a cancellation. Our event announcement email guide has a date or venue change template for that case.

Who to Tell First, and How

Order matters. The people who have spent the most, or who are about to spend more, should hear directly from you before anyone reads about it on social media. A typical order looks like this:

  1. 1

Your team, venue and key contractors

Agree the facts, the refund terms and a short holding reply. Confirm what the venue, general services contractor and caterer need from you, and by when.

  2. 2

    Sponsors and exhibitors

They have paid the most and may have freight, travel and staff booked. Phone your largest sponsors and exhibitors before the email lands, then send the email so they have the details in writing.

  3. 3

    Speakers

Speakers may have flights and hotels to change. Tell them the same day, and say what you will cover.

  4. 4

    Registered attendees

Send the attendee email once the partner calls are done, ideally the same day. Include anyone on a waitlist, who will otherwise keep waiting.

  5. 5

    The public

Update the event website, registration page and app, then post on social channels. Pause scheduled promotional emails, ads and reminders so nobody is invited to an event that is off.

What Every Cancellation Email Must Include

  • The decision in the subject line and the first sentence: cancelled, postponed, or moved online
  • A short, honest reason in one or two sentences, without blame or detail the reader does not need
  • What happens to their registration, booth or sponsorship, stated as a fact rather than a possibility
  • Each option with its deadline, and what happens if they do nothing
  • How and when refunds reach them, if you can say
  • What to do about travel and hotel rooms booked through your block
  • A named contact and a staffed reply-to address, plus an FAQ page if you expect many questions
  • A thank you, and what comes next, such as next year's dates if they are set

Choose the default carefully. If buyers who do nothing move to the new date automatically, say so plainly and give the deadline for asking for a refund instead. If they must act to get their money back, make that the most visible line in the email. Your published event refund policy should already say what happens when the organizer cancels; quote it rather than paraphrasing it.

Attendee Cancellation and Postponement Templates

Write the attendee email for someone reading on a phone in a hurry. The decision, what happens to their money and what they need to do should all be visible before they scroll.

Exhibitor and Sponsor Templates

Exhibitors and sponsors carry costs attendees don't: booth fees, contractor service orders, freight already on a truck, printed graphics and travel for the booth team. Their email needs more detail, and it should come from the person who sold them the space. For the routine messages before and after a show, see our exhibitor email templates and sponsor email templates.

Sponsors respond better to a choice than to a fixed outcome. Check what your sponsorship agreement says about cancellation before you offer anything, and record each sponsor's choice in writing.

Weather and Emergency Cancellations at Short Notice

A storm, a power cut or a safety threat can force a decision hours before doors open, or in the middle of the day. The goal changes: stop people travelling, or get them out safely, and sort out money later. Short messages on every channel beat one perfect email. Your event safety plan should already say who can make the call, who drafts the messages and which channels you use.

  1. 1

Make the call with the people who know

Decide with the venue, and follow instructions from local authorities and emergency services. Never contradict them in your messages.

  2. 2

    Send the short alert first

An app notification, and a text to people who agreed to texts, reach people already on the way. Keep it to what to do now.

  3. 3

    Then send the email

A short email confirms the decision and says when full details on refunds and rescheduling will follow.

  4. 4

    Update every public place

A website banner, the registration page, social channels, signs at the venue entrances and the message on your main phone line.

  5. 5

Follow up with the full notice

Within a day or two, send the full cancellation or postponement email using the templates above.

Cancellation Email Mistakes to Avoid

  • Posting on social media before exhibitors, sponsors and speakers have heard from you
  • Writing "refunds will be processed" without saying how much, how and by when
  • Making a credit the only option when buyers expected their money back
  • Leaving scheduled reminders and ads running after the event is off
  • Sending from a no-reply address in the week when people most need to ask questions
  • Forgetting the waitlist, comped guests, volunteers and vendors who never bought a ticket
  • Sending several corrections in a day instead of one clear notice once the facts are settled
  • Hiding the reason, or giving far more detail than anyone asked for

How Map D Helps

Send Cancellation Notices From Map D

Map D's Email Center sends your cancellation or postponement notice to the attendees, exhibitors and speakers already in your show, personalized for each one, and it goes out as soon as you select Send. Booth orders can be cancelled and refunded from the order, and your mobile app's notifications can carry a short same-day alert. Map D doesn't set your refund terms or send text messages. Check the send results after each email: people who unsubscribed from your emails are listed as not sent, and you will need to reach them another way.

  • Separate drafts for attendees, exhibitors and speakers, with placeholders such as {{First_Name}}, {{Company}}, {{Booth}} and {{Session_Title}}
  • A sender name and reply-to address set per show, so replies reach the person handling the change
  • Send results that count what was sent and what failed, including recipients who unsubscribed
  • Cancel order on a booth order releases the booths; cancelling doesn't move money on its own
  • Booth refunds sent through Stripe, Authorize.Net, NMI, BluePay or QuickBooks Payments, or recorded when you refunded another way
  • App notifications sent now or at a set time, opening a website such as your update page when tapped
See it on your own floor plan

Stop reading about it. Build one.

Upload the floor plan you already have and place your booths on it yourself, in Map D’s editor. Free to build, no contract, and nothing to install.

Frequently Asked Questions

Questions Organizers Ask

How do you write an email to cancel an event?

State the decision in the subject line and the first sentence, give a short honest reason, explain what happens to registrations and payments with any deadline, say what the reader needs to do, if anything, and name a person to contact. Send it to the people who paid before you post publicly.

What is the difference between cancelling and postponing an event?

A cancelled event will not take place, so buyers usually expect a refund or a credit. A postponed event moves to a later date, so the email explains whether registrations carry over automatically and what anyone who cannot attend the new date can do instead.

How much notice should you give when cancelling an event?

As much as you can, as soon as the decision is final. Exhibitors, sponsors and travelling speakers need it most, because their costs grow every week. For a same-day cancellation because of weather or an emergency, send short messages on every channel at once, then follow up with a full email.

Do you have to give refunds if you cancel an event?

Buyers generally expect a refund when an event they paid for does not happen, and consumer protection and card dispute rules in many places support them. What you owe depends on your published policy, your contracts and local law, so check them before you write the email. This is not legal advice.
