Why the Sponsor Thank You Letter Matters
A sponsor thank you letter is where next year's sponsorship starts. Your contact will forward it to the manager who signs off the budget, so it has to do more than say thanks: it should show what the sponsor bought, prove it was delivered, and make renewing the easy choice. A generic note that could have gone to any sponsor does none of that.
Most events send more than one message. A short personal thank you goes out straight after the event; the results letter follows when the numbers are in; the renewal offer comes with or soon after it. Our sponsorship letter template page includes a short thank you alongside the request letter, and our event follow-up email templates include a sponsor recap email. This page goes further, with letters for different kinds of sponsors and what to do when a benefit fell short.
When to Send a Sponsor Thank You Letter
| Message | When | Purpose |
|---|---|---|
| Personal thank you | Within a few days of the event | Thank the people you worked with while the event is fresh |
| Results letter | Within about two weeks | Confirm every benefit delivered, with figures and photos |
| Debrief call | Two to four weeks after | Hear what worked for them and what they want next time |
| Renewal offer | Before next year's packages go on general sale | Give them first refusal on their package or an upgrade |
These are common patterns, not fixed rules. The point is to reach the sponsor before they set next year's budget. If you know their budget cycle, for example that they plan in the autumn for the following calendar year, work back from it.
What to Include in a Sponsor Thank You Letter
- A named contact, and thanks to their team by name where you can
- One specific moment from the event that involved the sponsor
- Each benefit in their package, confirmed as delivered
- Evidence: photos, screenshots and figures from your own reports
- An honest note on anything that fell short, and the make-good
- What attendees said, if your survey or feedback mentioned them
- A next step with a date: a debrief call, first refusal on renewal, or both
- A signature from someone senior enough that it feels personal
| Benefit | Evidence to include | Where it comes from |
|---|---|---|
| Logo on signage and print | Photos of each placement | Photographer or staff photos during the event |
| Logo on website and app | Screenshots, plus sponsor page views | Event website and app analytics |
| Sponsored session or stage | Session attendance and rating, a photo of the stage | Session check-in and feedback records |
| Booth or activation | Photos, leads scanned, visits to the activation | Lead retrieval records and activation counts |
| Email or social mentions | Copies of the posts or emails, with reach where available | Email platform and social analytics |
| App ads | Screenshots of the ad placements | Your mobile app |
| Complimentary registrations | How many were used | Registration and check-in records |
Collect the Evidence During the Event
The results letter is only as good as the evidence you collected while the event was running. Assign one person to sponsor fulfillment and give them a checklist built from each sponsor's benefits schedule.
- 1
Build a Fulfillment Checklist
Before doors open, list every sponsor benefit with where it appears and who confirms it, taken from the signed agreements.
- 2
Photograph Placements
Photograph every sign, banner, stage and activation with the sponsor's branding visible, and file the photos by sponsor.
- 3
Capture Digital Placements
Screenshot the website, app and email placements on the days they ran, before anything changes after the event.
- 4
Export the Numbers
After the event, export sponsor views, session attendance and any leads scanned at sponsor booths through lead retrieval.
- 5
Collect Attendee Feedback
Pull any survey comments or social posts that mention the sponsor, with permission where you quote someone by name.
The same evidence feeds your own post-event review. Our event debrief template shows how to fold sponsor results into the wider report, and how to measure the success of your event covers which metrics are worth tracking.

When a Benefit Fell Short
Something on the benefits list goes wrong at most events: a banner arrives late, a session moves rooms, an email slips a week. Sponsors usually forgive the miss. They don't forgive finding it themselves in your recap photos. Name it in the letter and offer a make-good before they ask.
- Additional digital placements, such as extra weeks of logo placement on the website or an extra email mention
- A featured spot in the post-event recap, newsletter or press release
- Mobile app ad placements at the next event
- A discount or added benefit on next year's package
- A partial refund of the value of the missed benefit, if the agreement provides for it
The make-good terms should already be in your sponsorship agreement. If they are not, agree the substitute in writing so neither side remembers it differently next year.
Turn the Thank You Into a Renewal
The thank you letter and the renewal offer belong together. Sponsors who hear about next year from someone who just proved this year's value are far easier to renew than those who receive a cold prospectus months later.
- Give first refusal on the same package and location, with a deadline
- Suggest one change based on what they told you or what performed best
- Send the updated prospectus with the renewal letter, not separately
- Hold their booth or space while they decide, then release it on the deadline
- Log the conversation and the deadline so the renewal doesn't depend on one person's memory
If you manage many sponsors, sponsorship sales software keeps packages, inventory and payments together for next year's sale, and sponsor management software covers delivery and recognition across your website, floor plan and app. For package ideas that renew well, see our sponsorship activation ideas and event sponsorship levels.
Sponsor Thank You Letter Mistakes
- Sending one generic letter to every sponsor with only the company name changed
- Waiting until next year's sales cycle to say thank you
- Reporting attendance for the whole event as if it were the sponsor's reach
- Leaving out a missed benefit and hoping it goes unnoticed
- Sending only to your contact and not to the decision-maker they report to, when you have been introduced
- Forgetting in-kind sponsors, whose contribution often saved you real money
- Attaching a heavy file when a link to a photo folder would do
