What a NOVI AMS Integration Does for Exhibit Sales
Associations usually price exhibit space in tiers: members pay less, some booth types are kept for members, and sponsors or returning exhibitors get their own access. Without an AMS integration, that pricing runs on trust. A buyer ticks a member box, someone on staff checks the membership list later, and orders placed at the wrong price get corrected by hand.
A NOVI AMS integration moves the check to the front of checkout. The buyer signs in with their NOVI account, membership is confirmed before prices appear, and the company details on file come with them. For association teams, that means fewer corrected invoices and less retyping.
NOVI is an association management system made by Novi AMS, a separate company. Map D doesn't replace it: Map D connects to it so the people in your NOVI records can sign in to your Map D booth sales. For the bigger picture, read AMS integration for association event software.
Four Ways Buyers Can Register
On the Integrations tab of Registration & Orders, registration types set the entry points to your booth sales, such as members and non-members. For each one, you choose how buyers get in.
| Registration type | What the buyer does | Typical use |
|---|---|---|
| No login | Selects Continue and goes straight to the floor plan | Non-member exhibitors and open sales |
| Access code | Types the code you sent into Enter the access code and selects Verify | Sponsors, returning exhibitors or a partner group |
| NOVI member login | Signs in on the association's NOVI page; a current membership is required | Member pricing and members-only booth types |
| NOVI login without a membership check | Signs in with NOVI, with no membership requirement | Using NOVI accounts and company details without limiting sales to current members |
If there is only one registration type, buyers are asked for that one directly. If there are several, buyers see each with a short description, so say plainly who each type is for.
Setting Up NOVI Sign-In in Map D
- 1
Enter Your NOVI SSO Details
On the Integrations tab of Registration & Orders, enter your NOVI connection details under NOVI SSO. Do this before you add any NOVI registration types.
- 2
Add Registration Types
Select Add registration type for each group, for example NOVI member login for members and no login for everyone else, and write a short description of each.
- 3
Limit Booth Types
In Booth Setup > Booth Types, tick Registration types that can buy on any booth type you keep for some groups. Buyers under other types see Not available for your registration type.
- 4
Set Member Prices
Under Prices by registration type and date, select Add price, name it (for example Member rate), choose the registration type in Who gets this price, and enter the price. Add From and Until dates for a member early bird.
- 5
Test as a Buyer
Open your public registration page, choose each registration type in turn, and check the prices and booth availability each one sees.
What Exhibitors See
Before prices appear, a window asks how the exhibitor is registering. A member selects the NOVI button, signs in on your association's page, and is brought back to the floor plan. Their company details from NOVI are filled in at checkout.
- The choice is remembered for the rest of the day, so they aren't asked again on the floor plan or at checkout.
- The floor plan shows Registering as with their type, and Change to pick a different one.
- A member price or early bird rate shows its name next to the price.
- If they change type with booths in the cart, checkout reprices for the new type and asks them to remove any booths it can't buy.
- The window can't be skipped, so every buyer needs an option that fits them.
Map D checks the registration type again when the buyer reserves a booth and when they submit the order. Each order shows the type it was placed under as its User Registration Type, and you can change it when you edit an order.
When NOVI Sign-In Doesn't Go Through
Members see one of three messages if NOVI sign-in doesn't go through. Put the right answer in your exhibitor FAQ or support replies before sales open.
| Message | What it means | What to tell the member |
|---|---|---|
| NOVI sign-in didn't complete | The member didn't finish signing in on the NOVI page | Try again and finish signing in on the NOVI page |
| A current NOVI membership is required | The membership has lapsed or doesn't cover this registration type | Check or renew membership with the association, or register under a non-member type |
| NOVI sign-in isn't available yet | The show isn't set up for NOVI sign-in yet | Contact the organizer, who should check the NOVI SSO details on the Integrations tab |
Member Pricing Patterns for Association Shows
- Member and non-member rates: one booth type with a base price for everyone and a Member rate for the NOVI member type.
- Member early bird: a dated price for the NOVI member type, so the earliest rate goes only to verified members. See early bird registration.
- Members-only space: a booth type that only the NOVI member type can buy, such as a row of booths kept for members.
- Sponsor access: an access code type with its own prices and booth types, sent by email.
- Member volume pricing: Own prices by quantity at this price gives the member rate its own quantity prices.
These patterns cover most association exhibit pricing. More on how associations run their shows in Map D is on association event management.
Questions to Ask About an AMS Integration
- Is membership confirmed before the buyer sees prices, or checked after the order?
- Can members and non-members buy from the same floor plan at different prices?
- Can some booth types be limited to members?
- Are company details carried over from the AMS at checkout?
- Does every order record which registration type it was placed under?
- What does a member see when their membership has lapsed?
Beyond sign-in, Map D's event software integrations cover syncing AMS and CRM data with tools such as Novi and Salesforce. Ask your Map D account team what your association needs connected. For background, see our earlier announcement of an integration for Novi AMS users.
